Terms & Conditions


All trips must be paid in full at the time of booking. A $100.00 non-refundable fee is required to plan a personal itinerary. This fee will be applied to the trip payment at the time of booking. We will create up to  3 drafts after which time we require that the client pay a service fees of $100 per new draft. Each draft takes many hours of careful preparation and we do not provide drafts without first checking hotel availability and activity logistics. For our guided tour packages with group departure dates: we require that a completed reservation form, you must sign and return the following: Reservation From (available on line) or email confirmation of trip purchase, Personal Information Form (sent to you following receipt of reservation), Release of Liability, Assumption of Risk and Arbitration Agreement (sent to you following receipt of reservation), and have proof of Travel Insurance or agree to purchase travel insurance as part of your package. Payments must be in the specified currency and can be made by VISA, MasterCard, or check. A single supplement will be charged to each solo traveler (traveling solo) who wants a private room throughout a trip.  We must receive your signed reservation form and payment in order to confirm your reservation. You will then receive a confirmation including details about your trip, and a cancellation/travel insurance application.Please do not book your flights until your trip has been confirmed by us. Our affiliates at GAM SPS Travel Inc. are available to assist you with flights, insurance and other travel needs. Flights may incur a service fee.


Evia, Evia Active Travel and GAM SPS Travel Inc. adheres strictly to its cancellation policy. For any other type of cancellation we advise that you take travel insurance. If for some unfortunate reason you cancel your trip with us, our policy is simple: For all trips other than Peru, more than 91 days prior to departure we refund your payment less $750 per person. Fewer than 91 days but more than 60 days prior to departure we refund your payment less $1,000 per person, fewer than 60 days prior to departure there is no refund. For travel to Peru a non-refundable deposit of $750 per person applies, fewer than 121 days but more than 90 days prior to your trip we will refund your payment less 30% of the price of the trip, more than 60 days but fewer than 90 days: we will refund your payment less 60% of the trip, 0 to 60 days prior to your trip, there is no refund.

  • Evia, Evia Active Travel, GAM SPS Travel Inc. are not responsible for expenses incurred in preparation for any cancelled trips, such as airline tickets, train tickets, purchase of travel clothing or equipment, or other.
  • Single supplements are considered part of the trip price and are subject to cancellation fees.
  • Evia, Evia Active Travel, GAM SPS Travel Inc. reserves the right to make route and hotel modifications as needed.
  • On the rare occasions when Evia Active Travel must cancel a trip due to insufficient enrollment, all payments received to date will be refunded, or a trip of equal value will be provided, and will constitute full settlement.
  • Cancellation policy is in effect in all cases including weather, terrorism, civil unrest, personal or medical emergencies.
  • Guests who fail to provide signed “REALEASE of LIABILITY, ASSUMPTION of ALL RISK, and ARBITRATION AGREEMENT” and “personal information forms” prior to trip departure will not be allowed to join the trip and the cancellation policy applies.
  • Guests must purchase travel insurance no later than 90 days prior to departure. Travel insurance in non refundable. Travel insurance can be purchased through…… All travelers must show proof of travel insurance prior to departure.
  • Upon sending in a deposit toward your trip and returning your Reservation Form, you certify that you do not have any physical conditions or disabilities that would create a hazard for you or other travelers.

Note: Our European trips are priced based on the euro exchange set in September 2009. In the event of uncontrollable currency fluctuations, we reserve the right to adjust our rates accordingly.


All travelers are obliged to show proof of insurance in case of illness, accident, or otherwise. An application form can be faxed, mailed or emailed to you upon request. Please purchase trip cancellation insurance in case an illness forces you to cancel a trip or to depart early from a trip. To cover pre-existing medical conditions, you must purchase the insurance within 10 days of making your trip deposit and prior to purchasing your airline tickets. Also, we highly recommend that you buy special travelers, hospital, and medical insurance to supplement your existing health insurance. We ask you to review the limited amount of such coverage included in our insurance offer, and to confirm with your insurer that you are adequately covered for any eventuality.


We count on our travelers to be healthy and fit; to read our pre-trip materials about clothing, medical requirements, and culture-specific etiquette; to understand that a road less traveled means a more unpredictable, and more rewarding, adventure. Evia and Evia Active Travel trips have risks and rewards. Some trips are physically demanding or visit areas where medical facilities may be virtually nonexistent and evacuation difficult.


If space is available, we can transfer your deposit to another tour, based on availability, providing you contact us at least 100 days prior to your original departure date. Transfers must be applied to a tour departing in the same calendar year. Transfers incur a $100 per person administrative fee. Transfers are not accepted for any tour departing in less than 80 days.

Guests are responsible for: choosing a trip that suits their abilities, level of fitness, and state of health; respecting the laws and customs of countries visited; following environmental guidelines and regulations while on the trip in accordance with leader direction; and respecting the rights and privacy of other trip members. An individual may be asked to leave a trip if the leader feels that the person’s continuing participation may prove detrimental to the individual or to the well-being or enjoyment of other guests.


Due to circumstances beyond our control, Evia, Evia Active Travel may have to make partial changes to the stated itinerary. Every effort is made to keep changes to a minimum, and our high quality is always maintained.  We reserve the right to cancel any tour that does not reach the minimum level of participation. In the unlikely event that we cancel a tour, you will receive a full refund. Evia, Evia Active Travel will not reimburse for any personal expenses due to changes in itineraries or tour cancellations, such as prepaid hotel expenses or airline tickets. Evia Active Travel reserves the right to decline a reservation or to refuse service during a tour to anyone whose health or behavior could impede the welfare or enjoyment of fellow guests.


Evia, Evia Active Travel reserves the right to cancel any trip if there are too few participants, or if the safety of travelers is judged to be compromised. In such a case, refund of payments received by Evia, Evia Active Travel shall constitute full settlement. Evia Active Travel cannot assume responsibility for any loss incurred due to non-refundable air tickets.


We never sell your address or private information.


Travel within a group invariably involves a compromise to accommodate diverse desires, travel goals, personalities, and physical abilities of all group members. Evia Active Travel guides may be required to improvise and exercise good faith, use discretion and/or make decisions based upon group consensus. These decisions may not always please each individual, but are intended to satisfy the larger desires of the group.


Evia, Evia Active Travel will not assume responsibility for any overseas company or person who fails to provide services that have been contracted for any of its tours. (In the case of such an event, alternative services will be sought.) In rare instances, we may ask a traveler to switch to another trip from one that has logistical problems or too few participants; we will attempt to notify you 35 days before the departure date. Please note that Evia Active Travel does not own any services, vehicles, or properties used in our trips.


Please note that your credit card will not be charged and your trip will not be confirmed until someone at Evia or Eiva Active Travel has contacted you in person to confirm trip availability and pricing. Any additional travel arrangements that you make prior to being contacted by Evia, Evia Active Travel is at your own risk. Reservations are not complete until all forms have been signed and returned to Evia Active Travel.
